FAQs

Event Questions

What comes with room rental charges?

The room rental charge covers tables, chairs, and associated labor. There are additional fees for some other equipment such as pipe and drape, table linens and AV equipment. Clients are allowed to provide their own or rented equipment, however STAMP will not provide assistance with the setup, teardown, or storage of any equipment provided by clients.

Can I bring in my own food or have a catering company provide food for my event?

Clients with events in the STAMP must select from one of the university catering options. Use of outside non-university caterers is not permitted. Culturally based student organizations have an opportunity to request a catering waiver if they need culturally appropriate food for events.

Do I have to provide insurance for my event?

Non-University clients must obtain liability insurance coverage for their events held in the STAMP. Student organization may also be required to obtain liability insurance for some events where the chance of person injury or property damage is enhanced. See insurance requirements and options.

Is there parking near the Stamp?

The most convenient parking is at Union Lane Garage, an hourly paid parking garage located across from STAMP on Union Lane. The entrance to this garage is located on Fieldhouse Drive, not Union Lane.

Parking is also available at lots located throughout the UMD campus. Numbered parking lots are free for public use Monday through Friday after 4 p.m. and all day Saturday and Sunday. Detailed university parking maps and information can be found on the Transportation Services website.

How far in advance can I book my event?

Due to annual university events, holidays, and other priority events we are unable to accept client requests more than one calendar year (365 days) in advance.

Since my event is being held on campus can I include the University in my advertising?

Due to copyright and trademark laws, clients are strictly prohibited from using the University of Maryland logo, word mark or Terp/Terrapin icon, on any advertising related to their specific event. All client advertising should be phrased as (Client’s Name) at the University of Maryland.  This includes registered student organizations.

Can I sell products/services on campus and/or recruit students for my business?

Any non-university business is strictly prohibited from marketing, promoting, advertising or selling products and services, or recruiting to students on campus, according to University of Maryland policies. All questions about appropriate use of University trademarks and licensing should be submitted to licensing@umd.edu.

Can I host a sustainable event in the Stamp?

Yes, it is possible. See our tips below!

Before the event:

  • Use email and/or social media to advertise and promote your event.
  • Send agendas and other meeting materials, electronically, to participants in advance.
  • Limit or eliminate providing conference bags and “swag” to participants.
  • Print double-sided documents to distribute to participants.
  • Encourage participates to utilize public transportation to travel to and from your campus event.
  • Use re-useable centerpieces.
  • Limit or eliminate themed or dated signage materials that can only be used once.

During the event:

  • Send handouts to participants electronically, or post them to your organization’s website.
  • Project the agenda on the screen for everyone to see.
  • Only provide one (1) agenda at each table to be shared.

Following the event:

  • Consider increasing the meat free options you provide. Vegetarian options can be healthier and environmentally friendly
  • If you need/want a composting trash receptacle in your event, talk with your Event Coordinator in advance.

Know these definitions and how to sort:

  • Compost: Food scraps, paper napkins, paper containers, tea bags, coffee grounds, anything labeled compostable. If you need a compost trash receptacle in your event, talk with your Event Coordinator in advance.
  • Recycle: White paper, paperback and hardback books, and plastics 1 – 7 (empty, with no food remnants)
  • Trash/Landfill:  Styrofoam, recyclable items that are soiled with food, and everything else
